Managing Your Availability
Set up your availability so clients can book sessions when you're free to coach.
Availability Calendar
Accessing Your Calendar
Go to Coach Dashboard > Availability to manage your schedule.
Setting Working Hours
Configure your regular weekly availability:
- Select a day (e.g., Monday)
- Add time slots when you're available
- Repeat for each day you work
Example schedule:
- Monday: 9:00 AM - 12:00 PM, 2:00 PM - 5:00 PM
- Tuesday: 10:00 AM - 6:00 PM
- Wednesday: 9:00 AM - 12:00 PM
- Thursday: 10:00 AM - 6:00 PM
- Friday: 9:00 AM - 1:00 PM
Timezone
Your availability is set in your local timezone. Clients see your availability converted to their timezone.
Make sure your timezone is set correctly in Settings. This ensures clients book at the right times.
Buffer Times
Between Sessions
Add buffer time between sessions to:
- Prepare for the next client
- Take notes from the previous session
- Take breaks
Configure buffer time in Availability > Settings:
- 5 minutes (minimal)
- 15 minutes (recommended)
- 30 minutes (comfortable)
Before First Session
Optionally add buffer time before your first session of the day.
Blocking Time
Vacation/Time Off
Block out dates when you won't be available:
- Go to Availability > Block Time
- Select the date range
- Add a reason (optional)
- Save
Clients won't be able to book during blocked times.
One-Time Blocks
Block specific times for:
- Appointments
- Personal commitments
- One-off unavailability
Calendar Integration
Google Calendar
Sync with Google Calendar to:
- Automatically block times when you have other events
- See Coachive bookings in your calendar
- Avoid double-booking
To connect:
- Go to Settings > Integrations
- Click Connect Google Calendar
- Grant permissions
- Select which calendars to sync
Other Calendars
Export your Coachive calendar as an ICS file to import into other calendar apps.
Managing Bookings
When Clients Book
- You'll receive an email notification
- The session appears in your dashboard
- A calendar event is created (if synced)
Confirming Sessions
Sessions are automatically confirmed when clients complete booking and payment.
Rescheduling
If a client requests to reschedule:
- You'll receive a notification
- Review the new proposed time
- Accept or propose an alternative
Cancellations
Your cancellation policy is shown to clients at booking. Define:
- Notice period required (e.g., 24 hours)
- Refund policy for late cancellations
Best Practices
- Be consistent - Regular hours help clients remember your availability
- Update promptly - Block time as soon as you know you're unavailable
- Buffer generously - Better to have extra time than feel rushed
- Sync calendars - Avoid double-booking with Google Calendar sync
- Consider timezones - If targeting international clients, offer varied hours
